1. Who we are — data controllers
This website and the Woofcard service are operated under the Woofcard brand by Woofcard , a company incorporated in Europe. References to "Woofcard", "we", "us" or "our" in this policy are to Woofcard .
Marketing, the public website and the registration journey are operated by Woofcard or service provider ; the client application and the back office by Woofcard or service provider.
2. Scope
This policy covers the Woofcard websites (woofcard.com and any sub-domain), the pre-launch waiting-list page, and, once released, the Woofcard client application. Products and services have their own terms and conditions (the "Product Terms"); if the Product Terms conflict with this policy on a data-protection matter, the document offering the higher level of protection to you prevails.
3. Data we process
Owner data and dog data.
In more detail:
- Information you give us , when you join the waiting list, register a dog, open a dog account,, contact support or take part in a promotion or survey: your name, postal address, date of birth, e-mail address, phone number, login credentials, identification document numbers and copies (e.g. passport, driving licence, utility bill), bank details (account number, IBAN), photographs, and the dog data listed above.
- Information collected automatically , technical data (IP address, login information, browser type and version, time-zone setting, plug-ins, operating system and platform, device identifiers, mobile network information) and visit data (URLs and clickstream, pages viewed, response times, download errors, visit length, page interaction, and any phone number used to call customer service). Collection through cookies and similar technologies is subject to your consent where required , see our Cookie Policy.
- Location information , we may use IP and, with your permission, GPS technology .
4. Purposes and legal bases
Performance of the contract, legal obligations, legitimate interest (service improvement), consent (audience measurement, and marketing where applicable). Transaction data is never used for commercial purposes without dedicated, explicit consent.
Purpose by purpose:
- Providing services for your dog and owners.
- Verifying your identity and your dogs details preventing fraud and complying with anti-money-laundering and counter-terrorist-financing laws
- Operating, securing, troubleshooting and improving the site and the app; producing internal statistics — legitimate interest.
- Audience measurement, personalised advertising and marketing communications — consent, which you may withdraw at any time.
- Sending the waiting-list launch announcement — consent given when you subscribe (single launch e-mail; unsubscribe link in every message).
5. Who we share data with
- Any institution that participate to provide the service.
- Our partner which will take care of your dog.
- Service providers acting on our instructions bound by contract to confidentiality and GDPR processor obligations.
- Companies of our group, where permitted by law.
- Public authorities, courts and regulators where disclosure is required by law or by a valid request, under proper authority.
- A prospective buyer or seller, if we buy or sell any business or assets, in which case personal data may be one of the transferred assets.
We do not disclose information about identifiable individuals to advertisers. We may provide advertisers with aggregate, anonymised audience information only.
6. International transfers
Your data is stored within the European Economic Area (EEA). Where it is accessed or processed from outside the EEA (for example by a supplier's support staff), we put in place safeguards recognised by the GDPR, such as an adequacy decision or the European Commission's Standard Contractual Clauses, and we will provide details on request.
7. How long we keep your data
- Customer account data: for the duration of the contractual relationship, then archived for up to 5 years for evidence purposes in case of litigation.
- Customer contracts: 10 years from the conclusion of the contract.
- Prospect and waiting-list data: 3 years from collection or from your last contact with us.
- Contested transactions: 13 months from the debit date.
- Anti-money-laundering records: 5 years from the end of the business relationship, extendable where the law so requires.
- After these periods, data may be kept in anonymised form for statistical purposes.
8. Your rights
Access, rectification, erasure, restriction, objection, portability — to be exercised with Woofcard. You may also lodge a complaint with the competent supervisory authority.
You may equally contact the authority of your country of residence. Exercising your rights is free of charge.
9. Cookies
We use cookies and similar technologies to keep the site secure, measure audience and, with your consent, personalise content. No non-essential cookie is set before you consent, and you can change your choice at any time through the cookie banner. See the Cookie Policy for the full list.
10. Security
We maintain technical and organisational measures designed to prevent unauthorised access to your data, including firewalls, authentication systems and access controls, and we require staff, group companies and third parties with permitted access to observe confidentiality obligations. No transmission over the Internet can be guaranteed fully secure; messages you send us by ordinary e-mail travel at your own risk, and we will never ask you for security credentials by e-mail or social media.
11. Social media
Woofcard operates pages and accounts on social media, directly or through agencies, to inform and engage with customers, primarily in Europe. We monitor and record public comments about Woofcard on these channels to improve our services. Data you post there is processed by the platform under its own privacy policy, on servers we do not control and possibly outside the EU. Never share personal, account or security information through social media; we will never ask for it there.
12. Changes to this policy
We may update this policy from time to time. The current version is always available on the site with its date. If a change materially affects how we process your personal data, we will inform you through the site or by e-mail before it takes effect.
